Technical Writing 101 Part I

Technical writing has been a passion of mine over the years. I started as a person Documentation Help About support of technical instructions for employees and new recruits, and then work on the project documentation of software code and specifications techniques for large projects. I also wrote a course at a local university in my area and has taught well. I wanted to share with you some of my ideas of this course as people have found it useful. Even did a study in the journal Princeton US1! :-D

Anyway, I digress … I think there are four key to technical writing I refer to it as the method of photography. We will review each item.

D is the definition your audience – not just what you need to know who to write, but need to know your level of knowledge and awareness of the specific field. For example, if you MS Word teaches executive and they do not even know how to use Outlook or Browse Windows, you may need to re-evaluate the contents and the language is written in. Try to stay outside the complex techniques and start with a basic review of the toolbars or how to open the application.

O is scheme. Personally, I think is the key to success. I see so many writers just sit and start writing, direction, one can say in their document workflow. We can not follow his "train of thought." Take time to describe the whole content of the document title page and even notes of graphics, titles sections and content, all the way to the appendix, leaving the TOC (Table of Contents) for completion at the end. Believe me, you see a huge difference in the flow of your documents.

P is for defining your goal – I hate the use of acronyms in the acronym, but I mean what the Triip theory. His goal in creating a document could be any T, R ecommendations EPORT I, I or P INTEREST ersuade. For example, if you are a technical writer for a new software application for the human resources department and its work is to prepare a document for employees who will use this new application, what is its purpose? In this case, it is taught. Here's another: If you are hired as a technical writer to create a document designed to ensure that workers understand the new policies and procedures, that is your goal? In this case, the answer is to inform. We are not making a recommendation to follow procedures or try to interest them or persuade them to follow the policies and procedures, you need simply to inform.

S is for steps Editorial. I think there are three steps to the steps, so to speak, and no, I'm not an acronym for it. LOL The 3 steps are writing the plan and review. After completing his general plan for the document, including evaluation of your audience and the detailed plan maybe with some sketches, you can begin creating your project document. If you are not writing new techniques you know, your first document set is always a project. You have many, many reviews by several people before that the final document is approved. I hope not to scare anyone off yet! J
